The top 'box' contains search items that you use to quickly find records in the database. If you highlight the 'Subscriber' 'Search' box (it is shown highlighted above) you can begin typing the first characters of the search string, and the program will then navigate to the first matching record. For example, to find the record belonging to 'Louise Carter' you would type 'CARTER, LOUISE' and it would take you there. Most probably, you will see the record you want long before you have typed the whole lot in, and you can simply press enter.
Some people prefer to type the first 3 or 4 characters and then scroll down in the listbox using the mouse.
Use whatever method you find works best for you.
The data fields that you see are quite self explanitory, and I won't go into detail on every single field, although a few deserve special mention.
The 'Sort Key' is automatically calculated, and cannot be edited, as it is calculated on the other fields that you enter. As you will see when you enter data, it takes the most logical name and converts that into the search name, or 'Sort Key'.
The 'Delivery' address should be left blank unless it is different from the 'Contact' address. In this case the magazine itself it sent to the delivery address and all other correspondance is sent to the 'Contact' address. Note that the 'Post Code' refers to the delivery address in the case that they differ. In other words, the Post Code address should reflect the location that the magazine is being delivered to.
The 'No Mail', 'GNA' and 'Deceased' flags are activated by ticking them.
A 'No Mail' indicator will stop a subscriber from receiving ALL letters EXCEPT for the letter telling that their subscription is running out. The notification that this issue accompanying the letter, is their final issue, will always be sent. However, the 'No Mail' flag will prevent them from receiving reminders of any kind.
The 'GNA' flag refers to those who appear to have changed their address without notifying us, and it is then pointless to send anything, not even the magazine.
Obviously a 'Deceased' flag indicates that the subscriber has died and like the 'GNA' flag indicates that no letters or magazines should be sent in future.
Pay particular attention to the postal code field, which should only be used for New Zealand addresses. For addresses outside of New Zealand, embed the postal code in the address box at the correct location. The correct location for the postal code varies by country. For example USA and Australia addresses have the postal code on the same line as the state.
